PRACTICAL HEALTHCARE ADMINISTRATION TRAINING

Medical Office Assistant Foundations

40-Hour Intensive Career Preparation Program

Learn the Skills. Practise in a Simulated Clinic. Prepare for the Workplace.

Start building the administrative skills used in Canadian medical offices. Learn patient reception, appointment scheduling, clinic documentation and professional communication, then put your knowledge into practice using the dedicated Ari Medical Office Simulator. Continue developing your skills after class through further simulator training and potential supervised clinic experience.

More Than Studying a Medical Office — Practise How One Works

Medical Office Assistant Foundations is designed around the tasks commonly performed at a clinic reception desk. Rather than relying on lectures alone, learners take part in demonstrations, practice scenarios and guided simulations that connect individual tasks to the flow of a medical office.

The course introduces the non-clinical responsibilities of front-desk healthcare administration in Ontario, with emphasis on accuracy, patient service, confidentiality, teamwork and knowing when to refer a question to an authorized healthcare professional.

Realistic Clinic Scenarios

Work through fictional patient interactions and the administrative decisions made during a typical clinic day.

Dedicated Medical Office Simulator

Practise training workflows in a controlled educational software environment, using fictional patient information.

Ontario-Focused Skills

Explore local administrative expectations, privacy awareness and introductory OHIP concepts.

Continued Practical Development

Ask about up to 40 additional practical hours after the course, with simulator training and placement opportunities for eligible learners.

A Practical Pathway from Training to Workplace Preparation

40 Hours | Learn & Practise

Instructor-led learning, demonstrations, communication exercises and guided assignments with the educational clinic simulator. Complete the 40-hour curriculum and its practical assessment.

Up to 40 Additional Hours | Build Experience

Continue working on defined medical-office administrative tasks through structured simulator practice. Eligible learners may also be considered for supervised administrative experience in a participating clinic, subject to availability and appropriate arrangements.

The second phase offers up to 40 hours in total. If clinic placement is arranged, those hours form part of this allowance; they are not an additional guaranteed 40 hours. The exact arrangement, access conditions and available hours are confirmed by the Academy.

What You'll Learn in 40 Hours

Module 1 — Medical Office Fundamentals | 6h

Understand everyday responsibilities, professional boundaries, clinic roles and the journey from patient arrival to checkout. Scenario: your first day managing a clinic's front desk.

Module 2 — Patient Communication & Reception | 6h

Practise professional greetings, phone etiquette, accurate message-taking, patient service and responding respectfully to challenging situations. Scenario: several patients arrive while the phone is ringing.

Module 3 — Appointments & Scheduling | 6h

Explore scheduling, appointment confirmations, cancellations, rescheduling and no-show procedures. Scenario: reorganize an appointment calendar while respecting office policies.

Module 4 — Practical Medical Terminology | 6h

Become familiar with common terminology and document fields used in medical offices, without interpreting clinical findings. Scenario: check a fictional patient intake form for completeness.

Module 5 — Clinic Administration & Records | 8h

Practise sample patient registration, accurate data entry, administrative documentation, record organization, correspondence and privacy-aware information handling. Scenario: prepare a fictional patient record and route an inquiry appropriately.

Module 6 — OHIP & Billing Fundamentals | 4h

Gain an introductory understanding of Ontario health card administration, billing concepts and the importance of complete information. Scenario: identify a missing field in a fictional billing workflow; refer complex decisions to qualified staff.

Module 7 — Integrated Clinic Simulation | 4h

Bring the skills together in a guided mock clinic shift: welcome a fictional patient, manage an appointment, document administrative steps, route a message and complete checkout. Receive instructor feedback.

6 + 6 + 6 + 6 + 8 + 4 + 4 = 40 hours — The exact delivery format, timetable and assessment requirements are provided by the Academy before enrollment.

Keep Practising After the 40-Hour Course

Learning should not end when classroom instruction finishes. Ari Group Academy offers opportunities for up to 40 additional hours of practical development following the core program. Depending on individual arrangements, these hours may include structured practice in the dedicated medical-office simulator and supervised medical-office administrative experience at a participating clinic.

Additional Simulator Practice

Revisit the workflow, practise accurate administrative tasks and reinforce your skills with fictional patient cases. Ask the Academy how simulator access, practice hours and feedback are arranged for your intake.

Supervised Clinic Placement Opportunities

Eligible learners may be considered for a supervised administrative placement at a participating medical office. Where available and approved, placements can introduce learners to workplace routines, front-desk teamwork and administrative responsibilities under the host's supervision.

Clinic placement is not guaranteed. It depends on employer participation, learner eligibility, availability, scheduling, satisfactory preparation, privacy and workplace requirements, and approval of the placement arrangement. Placement hours, if approved, are counted within—not added to—the up-to-40-hour post-training pathway. Employment is not guaranteed. Any clinic experience is limited to supervised administrative observation and tasks, subject to legal, insurance and privacy conditions.

Skills You Can Demonstrate

By the end of the training, successful learners should be able to demonstrate introductory administrative tasks in a guided, simulated environment:

Communicate with patients professionally and respectfully.

Book and update sample appointments accurately.

Prepare and organize fictional intake and administrative records.

Follow privacy-aware administrative workflows.

Use basic medical terminology in appropriate office contexts.

Recognize when medical, clinical or complex billing questions must be referred to authorized personnel.

Practical performance depends on each learner's progress and assessment. The program does not qualify learners to provide medical advice or perform restricted healthcare activities.

Explore Entry-Level Healthcare Administration Opportunities

These introductory skills may support learners preparing to apply for suitable entry-level, non-clinical administrative opportunities in family practices, walk-in clinics, specialist offices and other healthcare settings. Employers set their own education, experience and language requirements.
